What to check before you buy billing software for a grocery, textile, medical or hardware shop — with a GST features checklist you can take to any demo.
If you still write bills by hand, moving to billing software is one of the cheapest upgrades a small shop can make. It cuts billing time, stops wrong totals, shows you what is selling, and turns month-end GST work from a weekend job into a report you print.
But there are dozens of options, and most demos look alike. This guide gives you a checklist to judge any billing software — ours included — before you pay. It is written for shop owners in Tamil Nadu. It is general guidance, not tax advice: confirm GST details with your auditor.
Before any demo, answer five questions: How many billing counters do you run, or will run in a year? Roughly how many different items do you sell? Do regular customers buy on credit? Do you sell to other businesses who need a GST invoice with their GSTIN? And do you need to track stock, or only bill?
A single-counter provision store, a medical shop and a wholesaler selling to other shops need very different things. Your answers decide which features on the checklist below are essential for you and which are nice to have.

Desktop software runs on the shop computer. It is fast and keeps working without internet; your data stays on your machine, so backups matter. Online (cloud) software runs in a browser and lets you check sales from anywhere, but most need a steady connection to bill. Mobile billing apps are cheap and handy for very small sellers, but slow down once you have many items, a barcode scanner or more than one counter.
For most shops with a fixed counter, desktop software with a reliable backup is the practical choice. If you need to watch several branches from home, ask how the software handles remote access or cloud backup.
The software licence is only part of the cost. Budget for a computer (or check your existing one is fast enough), a thermal printer, a barcode scanner, installation and training, and yearly support if the vendor charges for it. A small UPS is worth adding so a power cut does not interrupt a bill.
